We are hiring a receptionist and pet travel coordinator.

We are looking for a team member who is:

– Fluent in both English and Vietnamese
– Compassionate about pets and people
– Experienced in customer care and front desk service
– Excellent interpersonal skills, and being highly organized.
– Experienced in admin and paperwork tasks
– Extremely detail-oriented

As a receptionist/pet travel coordinator, you will be the first point of contact for our organization, managing administrative tasks and overseeing all aspects of pet travel logistics. Your time will be split evenly between receptionist duties and pet travel coordination, with the latter taking priority.

Receptionist tasks:

  • Answer phone calls, schedule appointments, and greet patients (English and Vietnamese).
  • Manage patient information, update charts, and process payments using billing software.
  • Coordinate with vets to prepare medications and assist with pet supply purchases.
  • Maintain and order office supplies, organize the reception area, and handle clerical tasks.
  • Handle any additional tasks related to reception.

Pet travel coordinator tasks:

  • Advise clients on pet travel and prepare the necessary paperwork.
  • Schedule government office visits and arrange transportation.
  • Coordinate with airlines, book tickets, and liaise with travel agencies.
  • Order and prepare pet travel supplies for pickup.
  • Handle any additional administrative tasks related to pet travel.

The Administrative Manager’s responsibilities include:
